Booking terms & privacy
Arrangements for your direct stay and how Guesthouse Polderlicht handles personal data.
Last updated: 24 October 2026
Booking terms
These terms describe the arrangements for a stay booked directly with Guesthouse Polderlicht. You book one of three separate guest rooms. For bookings through a platform, the terms you accepted there before booking apply.
1. Who provides your stay
Guesthouse Polderlicht is operated by Roseline Carine de Meester, your host Carine, at Bosstraat 3, 8370 Blankenberge, Belgium. Enterprise number: 0881.644.579. You can contact us at polderlichtgastenkamers@gmail.com or +32 479 70 31 37.
2. What you book
Polderlicht has three rooms: Tuin, Akker and Vijver. Each room has a bathroom exclusively for the guests of that room. The bathroom's location is stated for the selected room. The garden, guest kitchen and communal room are shared. A room booking does not grant exclusive use of the house or grounds.
A maximum of two people may stay in each room. All rooms are upstairs and accessible by stairs. Before booking, check whether your chosen room and its access are suitable for your stay. Please contact us if you have any questions.
3. Reservation and confirmation
Direct online reservations are made through Smoobu. Before you complete your booking, you are shown the selected room, dates, occupancy, total price and applicable arrangements. An online reservation becomes final when the booking module confirms it. A request by telephone, email or WhatsApp becomes final once we have agreed and confirmed the room, dates, price and arrangements with you.
You receive an email confirmation with your chosen room, stay dates, occupancy, total price, payment and cancellation arrangements and the full terms applicable to your booking. Check the details and report any error as soon as possible. The terms applicable when your contract is concluded remain applicable to that booking; subsequent changes to the text do not alter them.
4. Price and additional services
The price shown before you complete the booking is the total price for the selected room, dates and occupancy, including applicable taxes, accommodation tax and mandatory charges. Accommodation tax is therefore not charged separately on arrival. A subsequent change to the publicly offered room price does not alter your confirmed price. Additional services are added only when you expressly order them; their price is communicated in advance.
5. Payment for direct bookings
We require no deposit for direct bookings. You pay on arrival, in cash or by bank transfer. This also applies to online bookings through the Smoobu module on our website and bookings by telephone, email or WhatsApp. For a booking through Booking.com or Airbnb, the payment arrangements you accepted there when booking apply.
6. Cancellation or changes to your stay
For direct bookings through the website, telephone, email or WhatsApp, you can cancel free of charge until 12.00 noon Belgian time on the calendar day before arrival. Notify us through the booking option in your confirmation, by email or WhatsApp, including your name and stay dates. The time we receive your message is decisive; our response time must not disadvantage you. You receive confirmation that the cancellation has been processed.
If you cancel after this time or do not arrive, you pay only the price of the first reserved night per cancelled room, as agreed when booking. We charge no cancellation fee for the other nights.
If you leave earlier than planned, you pay only for the nights actually stayed, at the confirmed prices for those nights. There is no charge for unused nights. If you have already paid more for your stay, we refund the difference.
We may agree a more flexible arrangement with you. We confirm it by email. For bookings through Booking.com or Airbnb, the cancellation terms you accepted there when booking apply. Your statutory rights remain unaffected.
A change of dates or room depends on availability. We confirm any price difference before you accept the change. A request to change a booking does not automatically cancel the original booking.
Tourist accommodation with specified stay dates is not subject to a statutory fourteen-day right of withdrawal, pursuant to Article VI.53, 12° of the Belgian Code of Economic Law. This is separate from the free cancellation option agreed above.
7. Arrival and your stay
Your room is available from 12.00 noon on your arrival day. Check-out is by 11.00 am on your departure day. Arrange your expected arrival time with Carine. Late arrival or use of the key box is agreed personally in advance.
Smoking is not permitted indoors. Smoking outside is allowed. Parties and events are not allowed. Be considerate of other guests and take care of the house, garden and shared facilities. Report damage or a problem as soon as you notice it so that we can find a solution together.
Painting workshops may take place during your stay. The guest kitchen and garden remain available to staying guests. A room booking does not promise complete silence or the absence of other guests. Workshop participation, massage, sauna and breakfast baskets are separate services by arrangement; the price and any specific cancellation arrangements are communicated in advance.
8. If we cannot provide your stay
If we cannot fulfil a confirmed stay, we inform you as soon as possible. We refund payments received for the part not provided. We arrange a replacement stay or a different date only with your agreement.
If we cannot provide the confirmed stay because of a breach attributable to us, you are entitled, in addition to that refund, to compensation equal to the confirmed price of the first night for each room for which we cannot provide the stay. Any statutory rights to another remedy or higher compensation remain unaffected. The same damage is not compensated twice.
In cases of force majeure, statutory rules apply. These terms do not exclude a refund or other statutory rights.
9. Damage and unpaid amounts
Statutory liability rules apply to damage. We do not charge a fixed damage penalty without a valid prior agreement. For a specific damage claim, we explain the damage, responsibility and calculation, and you may respond. Normal wear and tear is not charged as damage caused by the guest. Our own statutory liability remains unaffected.
If an amount due is not paid on time, you first receive a free written reminder. We observe the statutory waiting period of at least fourteen calendar days and the other rules of Book XIX of the Belgian Code of Economic Law. We charge no fixed collection fee or contractual late-payment interest.
10. Questions and complaints
If you have a problem during your stay, tell Carine so that we can help. Email a complaint with your booking details to polderlichtgastenkamers@gmail.com. We investigate your complaint and seek an appropriate solution. Reporting it later does not automatically extinguish your statutory rights.
If you cannot resolve the matter with us, you may request independent mediation at www.consumentenombudsdienst.be. The service assesses whether your complaint can be handled. You retain the right to apply to the competent court.
Belgian law applies to the contract, without prejudice to any mandatory consumer protection to which you are entitled. The competent court is determined by the applicable statutory rules. An invalid provision does not affect the remaining terms insofar as the contract can continue without that provision.
Privacy policy
1. Who is responsible
Roseline Carine de Meester, trading as Guesthouse Polderlicht, is responsible for the processing described below. Our address is Bosstraat 3, 8370 Blankenberge, Belgium; enterprise number 0881.644.579. For privacy questions, contact Carine at polderlichtgastenkamers@gmail.com or +32 479 70 31 37.
2. Which data we use and why
Guest reviews on the website. We display a selection of public guest reviews to give visitors an impression of the stay. We use a short quotation, the displayed author name and a link to the original review on Google, Tripadvisor or Booking.com. Do you have a question or objection about the use of your review? Contact us at polderlichtgastenkamers@gmail.com.
Contact and enquiries. When you call, email or send a WhatsApp message, we receive your contact details and what you tell us. We use this to answer your question. When preparing a booking, we do so at your request before entering into a contract. For other questions, our legitimate interest is to provide a careful response and follow-up.
Bookings and stays. For your reservation, we use information including your name, contact details, stay dates, chosen room, number of guests, price, payment status and relevant messages or requests. For a bank transfer, the payer's name and account details may also be visible. We process these data to perform the contract, welcome you, carry out administration and communicate about your booking.
Statutory administration. We process the identification and stay data needed for statutory guest registration and the data needed for accounting and tax obligations. The legal basis is the applicable legal obligation. We do not retain copies of identity documents.
Security and disputes. Technical data, such as IP address, time, browser information and error messages, may be processed to operate and secure the website. Relevant correspondence may be needed to handle a complaint or legal claim. The legal basis is our legitimate interest in safe services and establishing, exercising or defending rights, balanced against your interests.
Optional website analytics. We activate non-essential analytics only after valid consent. You can withdraw it through Cookie settings, without affecting earlier lawful processing. We do not send newsletters.
3. Where data come from
The public guest reviews we display on the website come from Google, Tripadvisor or Booking.com.
We receive data from you, from the person booking on your behalf and, for platform bookings, through Booking.com or Airbnb. Smoobu brings together reservations and guest communications. Required fields are identified during booking. Without necessary data, we may be unable to process your reservation; additional comments are voluntary.
For our own guest administration we use Smoobu and email, without a separate paper register or Excel guest list. There are no surveillance cameras or video doorbell. We do not retain health notes for massages.
4. Who may receive data
Carine and authorised people helping with booking management, administration or technical support have access as necessary for their tasks. Service providers receive the data needed for their operation. Data may also be provided to our bank, accounting support or competent authorities insofar as necessary and lawful.
Smoobu GmbH supports reservations, channel connections and guest messages. The booking module receives the data you enter and technical data to display the form. Booking.com and Airbnb also have their own privacy information; these platforms are not necessarily solely our processors.
Google's Gmail is used for email contact. AI tools such as OpenAI's ChatGPT are also used for administrative support. Relevant questions, correspondence and booking data may be processed through them. Polderlicht remains responsible for our handling of these matters.
PriceLabs supports price management through connected systems. Reservation, pricing and occupancy data are exchanged. According to PriceLabs, integrations may also process guest data incidentally and temporarily. The price of a confirmed booking does not change as a result of subsequent automatic price adjustments.
The website is provided through Lovable. To display fonts, your browser connects to Google Fonts. On the booking page, a supporting script is loaded through Cloudflare cdnjs in addition to Smoobu. Even without analytics cookies, these services may receive technical data such as an IP address.
Telephone, email, WhatsApp, Google Maps and virtual-tour buttons are links. The external service opens when you follow the link; tours and Google Maps are not embedded as a map or tour in this website. The services' own privacy information also applies to their use.
5. Processing outside the European Economic Area
Some suppliers process data outside the EEA. PriceLabs states that data are stored in the United States and processed in locations including the United States, the European Union and India. Google, OpenAI and Lovable also describe international processing. Smoobu publishes the locations and safeguards of its subprocessors.
Suppliers describe safeguards in their public privacy and contractual information, such as European standard contractual clauses and, where applicable, the EU–US Data Privacy Framework. Through our contact address, you can request information about the processing of your data, the applicable safeguards and how to obtain a copy of them.
6. How long we retain data
We retain enquiries that do not lead to a booking for a maximum of one year after closure, unless information is needed longer for a specific dispute or legal obligation.
Statutory guest registration is subject to a retention period of seven years after departure; registration data are then destroyed in accordance with the applicable rules. This is not a reason to retain all free-text messages for the same period.
We retain ordinary invoices for seven years from 1 January of the year following issue, in accordance with applicable tax rules. A longer statutory period may apply to particular tax documents. We retain other booking correspondence as long as necessary to complete the stay and handle any relevant claims.
Technical data are retained as long as necessary to operate and secure the website and deal with faults. Retention periods may differ by supplier. Storage on your own device is explained separately below.
7. Cookies and storage on your device
The website stores your analytics choice locally in your browser under the name pl-analytics-consent. This choice remains valid for 183 days. The preference for enabled button sounds is stored under polderlicht-knopgeluid; it has no automatic expiry. Disabling button sounds removes this preference. You can also delete local website data through your browser. Ambient sound plays only after a deliberate choice.
If you consent to analytics cookies in the cookie notice, we can use Google Analytics 4 to measure page views, room choices and clicks on booking and contact buttons. With that consent we can also measure a confirmation signal from the Smoobu booking module; that signal contains no reservation number, amount or stay dates. Without that consent, Google Analytics is not loaded. We do not send any names, email addresses, phone numbers, message content or payment details you enter. Google Signals and ad personalisation are switched off. Google Analytics then sets the cookies _ga and _ga_ELL9WYSC42, with a standard lifetime of 2 years that is renewed on each visit; your browser may shorten this. Google Analytics retains event data for 14 months. User data also has a 14-month retention period; only this period restarts with new activity. Aggregated reports may remain available longer. This is separate from your cookie choice itself, which is valid for 183 days. You can withdraw your consent at any time via Cookie settings: measurement stops immediately and we remove these Google Analytics cookies. Declining does not prevent you from visiting or booking.
The external Smoobu module is loaded on the booking page. Smoobu receives technical data and may use its own cookies or storage for booking functionality. Our cookie choice does not automatically control all processing within that external module. Strictly necessary storage for a requested function and non-essential tracking have different consent requirements.
8. Your rights
Subject to the GDPR’s conditions, you may request access, a copy, rectification, erasure or restriction. The right to data portability applies where its statutory conditions are met, including automated processing based on consent or a contract.
Right to object
Are your data processed on the basis of a legitimate interest? You may then object on grounds relating to your particular situation by contacting polderlichtgastenkamers@gmail.com. You may always object to processing for direct marketing.
Email your request to polderlichtgastenkamers@gmail.com. We normally respond within one month. If an extension is needed because of the complexity or number of requests, we inform you of the reason within that first month; the extension is a maximum of two months. If there is reasonable doubt about your identity, we request only the additional information needed to confirm it.
You may complain to the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, through www.gegevensbeschermingsautoriteit.be, or another competent supervisory authority. You do not need to complain to us first. Erasure may be limited by a statutory retention obligation or the need to retain data for a legal claim.
9. Security and changes
We restrict access to authorised people and take responsibility for appropriate technical and organisational security. Absolute security cannot be guaranteed. We update this policy when our services or data processing change and inform you of significant changes where necessary.
